Everything you need to manage your users and teams can be found in the User Management section of the VTS Activate admin portal. This section is split into two parts, Users and Teams. To locate, navigate to the Admin view, then to User Management.

Users Tab
The first thing you will see in the Users tab is a table of all your active workplace members. You can search by name or email, and filter by team or company. You can also navigate to the Pending Invites tab.
From this user table, you can see an overview of the member's activity, such as their email, assigned teams, company, and when they were last active. Hover over the teams to see specific Teams the User has been assigned to.
Use the menu at the bottom of the table to select how many users to view per page.
Click Actions at the end of a User's row to:
- View profile
- Verify email
- Update company
- Remove User
View User Profile
A User in VTS Activate can refer to a fellow admin, a member of a tenant company within your building, property staff (including maintenance) - really anyone within the platform. As an Admin, you can view and manage your Users through the User Management portal and their User profile.
Click on a user's name to see their User Profile, or navigate there from the Actions menu. From here you can set the User's Primary location, view and remove from Teams, view their User analytics, and review their building access.
Primary Location
All users are auto-assigned a primary location based on the property they join. Admins can then change a user's primary channel based on the user's property channels.
Note that a Primary Channel can only be a property.
The user's primary location will be located under their QR code, above their Teams, Activity, Analytics, and Building Access. Select from the dropdown menu to change primary location.
Actions
Verify Email
This allows you as the admin to manually verify a user's primary email. You will see a prompt asking you to confirm. Once verified, a blue checkmark will appear next to the User's name in the User's table.
Update Company
This Action lets you manually assign a User to a Tenant Company. (Although you can assign multiple companies, we recommend you only choose one company at a time.) Note that by adding a User to a Company, only a Company Admin will be able to remove them later.
Remove User
To remove a User from the channel, navigate back to the Users tab, then click Actions. When you click Remove User, you will see a warning. Click Remove to finish.
Invite New Users
Lastly, you can invite new users to your workplace from the Users tab.
After clicking Invite new users, you will see a new menu. You can add one or several users at a time, or upload a csv to add new users in bulk.
Next, select which team the new users should be added to.
Lastly, you can choose to add the Users to a Tenant company. Enabling this option will bring up a dropdown menu of your current tenant companies to choose from.
Import Users via CSV
You can also add multiple new users to your VTS Activate platform by importing them via CSV. This method is ideal for adding a large number of users at once, such as when onboarding a new company or department.
1) Prepare CSV
The success of your user import heavily relies on the correct formatting of your CSV file. For this reason, VTS provides a CSV template.
First, navigate to the Admin portal, then to User Management, then Users.
Click Import, and then Download CSV template.

The CSV file must include the following columns:
- Full Name: The user's full name.
- Email: The user's unique email address. This will be their login ID.
- Company: The name of the company the user belongs to. This company must already exist in VTS Activate.
- Phone Number: The user's phone number.
- Teams: the primary team the user will belong to in Activate
- Marketing Opt-in: If the user opts in to receive marketing emails from your organization (Yes/No)
- User Status: Active or Disabled
- Tenant: Name of the tenant organization to which the user belongs

Once you have completed and saved your template, return to User Management > Users > Import, and click Upload CSV.
Pending Invites
From the Users tab, navigate to the Pending Invites tab. Here you can view invites that have not yet been accepted, including the date they were created, when the last invites were sent, and when the invites expire. From the actions menu, you can either resend the invite, or revoke the invite.
Export Users
When you export Users from Activate, you can choose whether to export the entire table (All data), or only the current page. The option to export Current page as csv is useful for when you want to only view a selection of your workplace members, such as a list filtered to a certain company, or team.
For example, if you want to view only the security staff for a certain building, set your filters as show below, and then export Current page as CSV.
Tenant Management
There will be times when you will need to add a new Tenant Company, or users to an existing Tenant, or users that are not Tenants (such as property staff).
To add a new Tenant Company or remove an existing Tenant Company, you will need to submit a ticket to VTS support via support@activate.vts.com
To add a user to an existing Tenant Company, use the Invite new User workflow outlined above and add the user to the correct tenant company.
