Visitor configuration, located under Visitor management, allows Admins to enable email updates and determine what type of email update the Member receives. Admins can also add entry instructions and building guidelines, setting Visitors up for success when using a Visitor Pass at the property.
General Settings
Starting here, you can configure the overall settings for visitors to your property.
Manual Visitor Validation
If this feature is enabled, a visitor will need to check in with security before receiving a guest pass with a QR code. Instead of receiving an email with their pass, they will instead receive an email notifying them that they need to check in with security upon arrival.
Once security has confirmed their identity, they can change the visitor's status to "validated" in the Visitor Log. This will automatically send an email with an active QR code to the guest, which they can then scan at the turnstile and enter the building.
Set buffer time / early check in
Naturally, some people will arrive earlier than their visitor pass specified visit time. When this feature is enabled, you can determine the time period before their visit start time that they can use their guest pass to enter the building.
You can choose from:
- No early check-in
- 15 minutes
- 30 minutes
- 45 minutes
- 60 minutes
Date Range limit
Set a limit on how far in advance a guest can register for a visitor pass. Once this feature is enabled, you can set the range from 1-5 months into the future.
Notifications
Notifications are essential to visitor management. Alert your visitors and hosts via email or push notifications. This is all configured under Notifications.
Email Template
Standardize your visitor messaging with Email Templates. Here you can add your branded image, entry instructions, building guidelines and policies, as well as attach a QR code. If multi-day pass is enabled, the visitor will be able to use the same QR code for every day of their visit.
Content included within brackets, [Property name], [Visitor name], etc, are pulled from the platform and provided information.
Add to Calendar
Visitors will receive a confirmation email with the ability to add to their calendar. From there they can modify the event description and other details, although the property address, time/date(s) of the visit, and the respective visitor and host names are included.
