Digital Inspections is a powerful tool designed to help your property teams seamlessly conduct, customize, and track building inspections directly within the Activate platform. By replacing manual, fragmented workflows with a streamlined digital solution, the tool significantly reduces the time needed to complete inspections and generate reports. Inspections are configured on the desktop, and operated on mobile to enable easy walkthroughs that integrate with Service Requests in Activate.

Inspections
Inspections allow you to create checklists by using provided templates, that enable your property teams to check a building's mechanical equipment, landscaping, common areas and more and create service requests as they walk through the property. To view Inspections, navigate to the Admin portal, and then use the navigation menu on the lefthand side to locate Inspections. Note - once completed, an Inspection cannot be changed or edited.
Dashboard
On the Dashboard tab, you can view your completed Inspections. Use the filters along the top to filter and search by inspection name, who completed the inspection, the completion status, as well as start and completion dates. Edit visible columns using the Edit Columns toggle, and click Download to receive a PDF of the completed Inspection.
Template Library
This is where you will set up and configure your Inspection templates. Start with the provided templates and click Customize to remove unnecessary items from the Inspection template, or reorder according to property layout.
Customize Templates
To customize an existing Inspection template, or configure a new Inspection, navigate to the Admin Portal, then to Inspections, then to Template Library. Select which template works best for your current needs.
- Abbreviated Building Inspection: A streamlined, high-level walk-through inspection of a building's primary systems and visible components, designed to flag major red flags and urgent safety or structural issues without the full scope of a comprehensive assessment.
- Comprehensive Office Inspection: A thorough visual and functional assessment of an office building's complete physical environment, encompassing structural components, building envelope, interior finishes, HVAC, electrical, plumbing, life safety systems, ADA compliance, and common areas.
- Industrial Abbreviated Inspection: A focused, time-efficient visual assessment of key systems and components within an industrial facility, designed to quickly identify critical deficiencies, safety concerns, and immediate maintenance needs.
- Industrial Building Comprehensive Inspection: An in-depth, structured evaluation of an industrial facility's entire physical condition, covering all major systems including structural integrity, mechanical, electrical, plumbing, HVAC, roof assemblies, loading infrastructure, fire suppression, and site improvements.
Click Customize next to your selected template to open the customization window.
Review the provided items on the template, and use the Trashcan icon to remove items that do not need to be included. (Note that deleted items can be restored later.)
Click Revert All to restore all items provided on the template back to the Inspection. Use the navigation menu on the right to jump to a specific section.
Use the three lines to drag and drop to reorder Inspection items.
Note that all changes are saved automatically, and that any changes will only affect Digital Inspections going forward. Completed Inspections will not be affected by any changes to the template.
Complete an Inspection
Inspections are completed via mobile app. In the mobile app, navigate to the Admin portal, then to the Work Orders section, and then to Inspections.
Select the Inspection template, and tap Start Inspection.
Within the Inspection category, you will see a list of Active and Completed Inspections. Active Inspections will also display the percentage completed. Tap the Inspection to begin or continue progress. If this is your first inspection, you will be directed to choose a template.
As you walk through the property, check off each item according to the template provided options, such as N/A, Deficient, OK, etc. Note that you can also add a photo from your camera gallery, add a note, or instantly create a Work Order to address a deficient item. (If an item is deficient, a note and photo are mandatory.)
Once you have entered an answer for all items in the Inspection, tap Complete to finish.
Convert Inspection Item to Work Order
As you complete your walkthrough, each item has the option to create a Work Order. Tapping Create Work Order will bring up your organization's work order form, where you can enter the type of service, location, and any other information your organization has set up to require. Once created, the Work Order will be processed like any other work order.
Inspection Reports
Once a Digital Inspection is complete, it cannot be changed or edited. In the Inspections Dashboard, you can view completed and in-progress reports. Click Download next to an Inspection to view the Inspection Report.
The report will download automatically as a PDF, and will contain an overview and information about the report, as well as a line-by-line breakdown of each item.
